The Role
The Billing Coordinator supports the day?to?day billing operations for Tundra’s staffing services across Canadian and US clients. This entry?level role is ideal for someone early in their accounting or finance career who is highly detail?oriented, eager to learn, and interested in building expertise in staffing billing, systems, and processes. The role works closely with Billing, Payroll, Sales, and Recruiting teams to help ensure accurate, timely invoicing and a positive client experience.
- Assist with the preparation, review, and issuance of accurate and timely client invoices and credit notes for temporary, contract, and project-based staffing services across Canadian and US clients.
- Review billing data by reconciling timesheets, contracts, rates, markups, and approvals under the guidance of senior billing team members.
- Ensure invoices reflect correct pay and bill rates, overtime rules, statutory and employer charges, reimbursable expenses, and client?specific billing instructions.
- Implement core billing guidelines for Canadian and US staffing engagements, ensuring familiarity with distinctions between provincial and federal regulations/state requirements that impact billing.
- Basic understanding of indirect taxes (e.g., GST/HST, PST/QST, US sales tax), with support from senior team members.
- Exposure to cross?border and currency considerations, where applicable.
- Enter, verify, and maintain billing information within time?tracking systems and ERP platforms, ensuring data accuracy and proper documentation.
- Work closely with Recruiters, Sales, Payroll, and Accounts Receivable to help resolve billing questions, corrections, and discrepancies.
- Respond to routine client billing inquiries in a professional and timely manner, escalating more complex issues as appropriate.
- Support the Accounts Receivable team with billing corrections, rebilling, and documentation required to resolve client disputes.
- Follow established billing procedures, internal controls, and accounting policies to ensure consistent and compliant billing practices.
- Participate in process reviews and team discussions aimed at improving billing accuracy and efficiency.
- Use AI tools and Microsoft Copilot, with guidance, to: Improve billing processes, workflows, learn best practices in staffing and professional?services billing.
- Assist with research, documentation, and process improvement ideas.
- Help streamline repetitive tasks and improve accuracy over time.
- Assist with maintaining billing checklists, SOPs, and reference documentation.
- Support month?end billing activities, including reconciliations and basic reporting.
- Perform other billing and accounting support tasks as assigned.
Who You Are
- You have 1–3 years of experience in a billing, accounting, finance, or administrative role; exposure to staffing, recruitment, or professional services is an asset but not required.
- You have a diploma or degree in Accounting, Finance, Business Administration, or a related field (completed or in progress).
- You have strong interest in billing operations, accounting processes, and systems.
- You have high attention to detail with a desire to learn how to identify and prevent billing errors.
- You are comfortable working with numbers and data in a structured, process?driven environment.
- You are customer?service oriented with the ability to communicate clearly and professionally with internal teams and clients.
- You have working knowledge of Microsoft Excel (basic formulas, lookups, data organization); willingness to develop more advanced skills.
- You are comfortable learning and working in ERP systems, time?tracking tools, and cloud?based applications (experience with Microsoft Dynamics is an asset, not a requirement).
- You have the ability to manage tasks and deadlines in a fast?paced environment, with strong organization and follow?through.
- You have clear written and verbal communication skills.
- You have the ability to work well within a team, while developing confidence to work independently over time.
- You have demonstrated professionalism, integrity, and ability to handle confidential information.
- You have an interest in process improvement, documentation, and technology, including learning how AI tools and Microsoft Copilot can support day?to?day work.
The salary range that the employer in good faith reasonably expects to pay for this position is $55,000 – $57,000.
